Sales Administrative Associate

The Ideal Candidate: We are looking for a highly organized and detail-orientated Sales Administrative Associate to support our sales team. This role in sales and business administration will play a critical part in supporting our sales operations. The ideal candidate will possess a strong attention to detail, proficiency in Microsoft Excel and Word and, ideally, a background in the wine industry. Design experience is a plus, as the role will involve creating visually appealing presentations and materials.

Essential Duties and Responsibilities include the following. Other duties may be assigned:

  • Manage RFPs (Request for Pricing) for major national accounts
  • Chain Portal Management: Manage portals for trade wholesale accounts, ensuring accurate and up-to-date information
  • Itinerary and Agenda Generation: Create detailed itineraries and agendas for meetings, events and sales trips
  • Administrative Support: Provide day-to-day administrative assistance to the sales team, including scheduling and meeting coordination
  • Maintain records, organize digital files and ensure documents are accessible to sales team
  • Budget Management: Manage budgets with the Trade Ambassador for wine inventory, point of sale materials, sales incentives and more
  • Presentation and Materials Creation: Collaborate with marketing to ensure materials align with brand standards
  • Event Support: Attend and support sales team events at the winery and market events throughout the year to assist in event execution as needed. Some travel required.
  • Organizational Support and Attention to Detail: Maintain an organized approach to all tasks, while managing multiple projects with attention to detail

Supervisory Responsibilities: No direct reports, however, this person will work closely with key staff in Sales and multiple departments.

Education and/or Experience

Bachelor’s Degree and/or any combination of the following:

  • 5+ years experience in winery office administration
  • 3+ years experience in wine club administration and/or execution
  • 3+ years experience in hotel industry (reservations, concierge, administration)

Specific Knowledge, Skills and Abilities

  • Detail orientated, highly accurate
  • Ability to manage on-site and off-site special event logistics and vendors
  • Strong verbal and written communication skills

  • Outlook, Excel, Word, PowerPoint and Acrobat (Canva is a plus)

Compensation: $80,000
